Privacy Policy

This policy explains what we collect, how we use it, and the choices you have when using MailEnv.

1) What we collect

  • Account data: name, email, authentication identifiers, organization info.
  • Manual verification data: name/business name, physical address, phone number, email address, and basic intended purpose information you submit for account approval.
  • Billing data: plan, payment status, transaction identifiers (payments are processed by third parties; we do not store full card numbers).
  • Email activity data (logs/metadata): sender/recipient addresses, timestamps, message IDs, delivery/bounce/complaint events, and related operational logs.
  • Technical data: IP address, device/browser info, cookies, and service usage logs.
  • Support data: communications you send to us.

2) How we use data

We use data to:

  • provide and operate the Service
  • secure the Service and prevent fraud/abuse/spam
  • manually verify and approve accounts before enabling sending
  • enforce verification and consent rules
  • provide analytics and reporting
  • bill and manage subscriptions
  • provide support and communicate service updates

3) Email content

We process email content as needed to transmit messages. Our primary retention focus is on logs/metadata, not storing email bodies long-term.

4) Amazon SES and infrastructure providers

We use third-party infrastructure providers (including AWS and Amazon SES) to send and process email. Sending activity and event data may be processed by those providers to deliver messages and enforce their policies.

MailEnv may provision and operate Amazon SES sending resources through Company-managed AWS accounts and sub-accounts. Email sending metadata, event data (such as delivery, bounce, and complaint signals), and operational logs may be processed within these accounts as part of operating and securing the Service.

5) Sharing and disclosure

We do not sell personal data. We share data only with:

  • infrastructure providers necessary to operate the Service (e.g., AWS/Amazon SES)
  • payment processors (if applicable)
  • monitoring/security providers (if applicable)
  • legal/authorities if required to comply with law, protect rights/safety, or prevent fraud/abuse

6) Data retention

We store email logs for up to 3 months. Older logs may be deleted, or may be available through separate reporting/export features if provided.

We may preserve aggregated counts and tallies beyond that period (for example: totals of sends, bounces, complaints, opens/clicks if enabled). We do our best to maintain accurate reporting, but we do not guarantee metrics will be 100% complete or error-free due to technical limits, third-party events, and logging constraints.

7) Your choices

You can request account deletion and associated data deletion, subject to legal retention obligations and backup/operational constraints. Requests: devops@miamiweblab.com.

8) Security

We use reasonable safeguards to protect data. No system is perfectly secure, and we cannot guarantee absolute security.

9) International users

If you use the Service outside the U.S., your data may be processed in the U.S. and other countries where our providers operate.

10) Age

The Service is intended for users 18+. Users under 18 should not use the Service without parental/guardian guidance and supervision.

11) Changes

We may update this Privacy Policy. Continued use means you accept the updated policy.

Acceptable Use / Anti-Spam Policy (Short)

MailEnv is designed for permission-based email and engaging with existing customers and subscribers, not broad cold outreach.

You agree that:

  • All customers must pass manual verification before sending (submission of basic identity/business details and intended purpose). Access may be delayed up to 24-48 hours if review issues arise.
  • We may suspend without notice for abuse or policy violations.
  • We require consent and unsubscribe mechanisms for marketing messages where applicable.
  • No purchased, rented, scraped, or third-party lists may be used.
  • We may require proof of consent or evidence of a legitimate relationship.
  • We may require verification through our system and may, in limited cases, manually review/approve accounts at our discretion.
  • Violations may result in immediate suspension or termination.
